**Job Description**

- Draft and format correspondence, reports, tables, and presentations; proofread documents to ensure accuracy and adherence to internal standards.
- Enter, structure, and update data in various systems; maintain databases and tracking tools; support preparation of annual plans and monitor related activities.
- Maintain office files and reference systems; compile background information and materials for reports and programme documents.
- Manage incoming mail and correspondence; monitor deadlines and follow up on pending items.
- Initiate and process administrative actions in digital systems (travel, procurement, HR, consultant contracts, vacancy announcements).
- Organise appointments, receive visitors, manage calls, and respond to routine information requests.
- Provide logistical support for meetings, workshops and conferences, including invitations, travel arrangements, documentation and minute‑taking.
- Prepare standard cost estimates and support budget monitoring and expenditure tracking.
- Serve as a point of reference for administrative procedures and liaise with internal and external counterparts.
- Perform other related duties as needed.

**The Successful Applicant**
Education



- Secondary education (high school diploma or equivalent).
- Post‑secondary training in administration, office management, secretarial studies or business support.
- Training in digital tools (Word, Excel, databases, communication platforms).

**Experience**

- At least three years of administrative or office support experience.
- Experience using ERP systems (e.g. Umoja, AIMS) is an asset.

Languages



- Excellent written and spoken English.
- Knowledge of French or another UN language is an advantage.

Technical & Professional Competencies



- Strong organisational and time‑management skills; ability to prioritise tasks and work independently.
- Excellent attention to detail and accuracy in document preparation.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and ability to work with databases.
- Ability to learn new software tools quickly.
- Strong communication and interpersonal skills; ability to work effectively in a multicultural environment.
- Ability to follow established procedures and apply administrative rules consistently.
